The Claromentis web Portal environment provides news functionality both through support for RSS feeds, and with its own news areas and channels.
RSS feeds are assigned to visual interfaces, and can therefore be made available to relevant users. For example, in a global corporation, US employees might receive a CNN and US weather feed, whereas employees in the UK may find an RSS feed from the BBC is more relevant.
Distribution of news is powerful, flexible and needs no knowledge of HTML.
News items are set up and published using the communication administration panel. Key people around the company can therefore maintain their own news items without having to call on IT or HR staff for assistance.
Headline news items appear in a prominent area of the home page, and this is used for items that are of interest to many people. More detailed news items can be used to publish information to smaller groups - perhaps all staff in a particular role, or in a project team, for example.
News channels are used to publish news about particular subject areas. On the 'My settings' page, each user can decide which news channels they wish to receive. This ensures that people receive only news that is interesting and relevant to them.
To provide users with addition information, news items can be linked to web pages that are also maintained using the news module, or within the Claromentis Enterprise Content Manager application. This allows for preparation of detailed information ahead of an event - for example, press releases - that can be published within a determined date and time range.
News is automatically archived after the expiry date or once there are more than five items of headline news.
The entire news archive is fully searchable.
With an easy-to-use information management tool, the Claromentis web Portal software helps companies to store information about its personnel. Depending on their permission level, users can access everything from phone lists and an automatically updated organisation chart, to appraisal and training documentation.
As with all Claromentis web solutions, the information you chose to store about personnel is completely customizable. Appropriate information fields (or metadata) can be defined within the administration panel to fit with your own HR processes.
For example, in addition to obvious contact details, you may wish to store information about foreign languages spoken, car registration details or career history and skills. The choice is entirely yours.
Once the metadata has been defined, personnel data can be set up with various access rights: viewable only by the employee in question; viewable to other users; or to be viewed or edited only by a specific user group (such as the Finance Department when processing payroll, for example). Information records can also be set as 'implicit' - meaning they are only visible if there is some data present
Personnel data is fully searchable and feeds into staff and contact lists so they are always kept up-to-date. Users can also use the data to create a completely customizable phone list that can be filtered to suit their needs.
Users can access the calendar function to perform a number of tasks including room and resource booking, as well as setting up event reminder alerts to be sent to themselves or their colleagues. The calendar also links to an absence management tool, enabling employees to submit holiday requests for management approval. Portal environment provides companies with a quick and easy way to canvas user opinions. When required, surveys can be targeted at specific user-groups using the permissions structure.
Claromentis contains a complete group calendar and task module. Optional integration with the Claromentis Sales Manager application ensures that users are fully aware of events.

Calendars can be viewed in a variety of modes - such as daily, weekly, monthly views. In addition, colour-coding shows which events you are participating in. Alarms can be set so that you will be notified at a specified time prior to an event.
The calendar can also be linked to room and facilities booking. Users can find out the availability of a room that seats a certain number of people, and request a projector and refreshments - all from within the calendar module.
Individual users can ensure they have an up-to-date overview of the information that is important to them. By configuring the user-friendly dashboard tool with theirown personal preferences, they can display updated summaries from selected data sources from anywhere within the organization.
The dashboard module can create graphical representations of data from any accessible source, and make these available to any user group within an organization's intranet, extranet or website.

As well as seeing the appropriate branding design for their own user groups, a personalized infobar provides users with access to information feeds that are relevant to them - such as world time, weather, RSS news feeds, and corporate information.
Users can customize their own infobars and use them to access data within the Claromentis Framework solution- or from external sources, optimizing their productivity. For example, a project manager may need to update information in the Claromentis Project Manager software application, an account manager may wish to access key account data within the Claromentis Sales Manager application, and other staff may require fast access to critical web resources and external applications. This can all be achieved by inserting a link into the infobar for each user.
The infobar will normally be visible on every page viewed by users so that they always have fast access to resources. If users need to maximize the available screen area, the infobar can be hidden simply by using hotkeys or by clicking on an icon. This action can then be repeated to restore the infobar.

For certain users - such as those that travel extensively, or work offsite or from home - the web mail functionality provided within the Claromentis web Portal is invaluable.
Messaging is used extensively within the Claromentis solution to notify users that particular events have occurred. Each user can control whether instant messages arrive as emails - with a direct link to the relevant data - or as pop up messages. Frequent users will prefer the pop up systems, while those who spend less of their working day logged in to the intranet will prefer the convenience of receiving an email. Whenever you have unread messages in your inbox, the visual interface can display a flashing icon to remind you to read them.
Alerts can be scheduled to be sent to individuals or specific user groups to remind them about important settings to receive alerts by pop-up messages or web mail.
Permission-based functionality enables companies to set up ongoing discussion forums to share ideas and collaborate with colleagues and external partners. Entries can be pre- or post-moderated if required, enabling you to monitor and control content.

Through the auditing administration panel, the auditing module can be configured to monitor every user activity within the Claromentis Portal environment.
Each event - a user viewing a document, for example - creates an entry in the audit table. This table is then available for reporting and analysis.
This information can be reviewed using filters and reports within the auditing panel, using the dashboard module to create graphs for relevant users, using any external reporting tool such as Business Objects, or by simple export to a .CSV file for graphing and analysis using Excel.
Each document can be audited by clicking on an icon in the information page for that document. This will allow authorized users to review every event in the document history since its creation - including all views, metadata changes, location moves and edits.
This data can provide a useful summary for compliance staff that need to determine who has interacted with certain documents.
