I try to summarize what different types of companies might be looking for, and what solutions we offer in both our standard intranet product and in our Quality Management suite – specifically Policy Manager and Policy Publisher.

Good ‘Policy & Procedure’ management has always been critical for organisations affected by government legislation. But for most people reading this blog, I’m sure you’ll agree that it is bland at best. Most are created in an editor such as Microsoft Word with little thought to layout and general design. A conversion to PDF and saved into a shared drive normally completes the process, where they sit with very little use until their review the following year (or as dictated by the the relevant standards).

But here at Claromentis, we’ve created a solution that transforms the way Policies & Procedures will be viewed by an organisation. We’ve just started a project for a large Australian government department, which has included:

1. converting all Microsoft Word based policies & procedures, and converting them into HTML
2. implementing flip style reading (think ipad style readability)
3. easy statistical figures regarding who has and hasn’t read a certain policy
4. simple chapter navigation
5. integrated discussion pages and wikis
6. easy searching
7. integrated electronic forms
8. document version control and linking

With clients now upgrading to Claromentis 5.4, we will have the fist opportunity to gain feedback on a significant new application – Quality Manager.

This application has been sponsored by one of our largest companies and provides important functionality for the management of policies and procedures.

It moves Policies and Procedures onto a truly online world, and away from our previous solution of using Document manager to provide version controlled online files.

The new online Quality Manager means:

• Procedures and Manuals will be automatically updated when included procedures change, radically simplifying the business problem of maintaining a complex information layer
• Compliance will be simpler
• Online Policies and Procedures can be exported to many formats
• Printed copies can be marked automatically as outside the quality management system
• Different business units will automatically see the same content with their own brand – but there is only one Policy to maintain.

We are now working on the extension of this application to provide an enterprise level environment for the management of ISO or other legislative Audits – these two applications working together will provide the complete solution for Quality Managers.
