Document Permission Report

There has been many post on the subject related to permission lately, and I want to show a hidden ‘gem’ in the admin panel of Claromentis Document Management which is going to help us monitor and manage permission better.

Complex Permission System

Claromentis Document Management System has comprehensive permission system, which means you can define permission by extranet area, role, group down to individual users. The permission can also inherited from the folder above as well as applied on the individual file itself.

Access Report

When you logging in to the system of course you can only see the document that you are allowed to see, but as you know from admin you can see all files.
As a document administrator you may be asked by your manager to create a report showing what a particular user can see or not see on the system.

They might be a business partners or contractors, while you want to make sure they have access to the information they need, you want to make sure there is no permission leak. You don’t want the corporate sensitive information exposed to this type of users.

What’s new in Claromentis

We created  a new functionality called  “Document Permission Report” and it is available from admin panel from Claromentis 5.6.3 onwards.

Under utilities in Document Panel click on “Document Permission Report”
Where you can select a user and get the permission report instantly, you can also export it to CSV format.

View Effective Permissions

After applying permission to a folder or document, have you ever wonder that you need to make sure the right person can view the document? Let’s say you added Group:Marketing, until now there is no to find out who are the member of “Group Marketing for instance” unless you have to navigate away to ‘People’ application and run a search or filter.

But now in 5.6.1 we’ve got a nifty solution. It’s called “View effective permission”, as you can see you can now review the permission on every single permission dialog box to make sure the right people has the right permission.

Multilingual content management

Built-in content management module (codename: Publish) in Claromentis is used in several products such as Intranet & Extranet Manager, Document Manager and Enterprise Content Manager.  In version 5.6 we are going to introduce brand new multilingual content management capabilities.

Old days:  Folder solution

Until now web-page contents on the Intranet are limited to one language, although our interface supports complete localization, which means you can have Claromentis interface in Japanese but the content you’re looking at are in English.

We have managed to get around this situation by setting up different folder in Publish, one for each language, for instance we can have folder named “English” for English content and “Japanese” for Japanese content. It make sense right? not quite…

Complexity and Problems

Wait until you have to combine with Departments for example you may have set your folder structure by Departments for example “Marketing”, you may have a page called “Branding” under Marketing.

Imagine the complexity that you may forced to have 2 marketing folder one for each language. It’s hard enough to look after one folder now you have 2 in separate location, not to mention about a company with offices worldwide deploying more than 5 languages.

Multilingual content in 5.6

In Claromentis 5.6 we are going to introduce built-in multilingual support in Publish. It is so simple to setup, in fact you don’t need to setup anything,

Language Bar

You’ll see language bar displayed when you editing a page to add new content in new language just click “add language” and existing content will be automatically copied ready to be translated.

Know your language

Content based on your preferred language set in “my settings” will be automatically displayed.  For example you may have set your language to “Spanish”, if there is no “Spanish” content of the page you want to see you will be automatically presented with “default language” which in most cases will be “English”.

Unified URL

Say you speak English; you can send a URL of a content page in English to your employees in Japan, when they open it, they will relevant page in Japanese.

Have you ever get into panic situation where your work is suddenly mounting, you feel worry that things may not get done, or you feel depressed because you know you are about to cause big disappointment for everyone?  Do you feel so much more positive as soon as you write things down on a piece of paper?  There is an old saying; if you share your problem things aren’t so bad as it sounds?

My job role

My role is an information architect (IA). I work daily with our business and technical consultants understanding client’s needs and their business problems. We’re working in a small team brainstorming debating ideas and deciding ‘the best approach’ on a particular issue for a particular client. In the back-end I have a trio: developer, designer and application tester ready to ‘get-on’ with it.

Challenging situation

Recently it has become quite a challenging situation. Amount of work shows no sign of slowing down; at the same time my trio is no longer solid with the departure of one of our team member.  Unfortunately I have to juggle with numerous tasks which require multiple skills.

Claromentis Shared Calendar

One tool which has helped me to get through this (believe it or not) is Claromentis Shared Calendar. We’ve been using Claromentis shared calendar in our Intranet system as our simple team to-do list. Each of us created a calendar, pick a particular colour and we simply share them. I have permission to create events on each calendar which I am using it to set tasks for my team.

We can easily see each other calendar or multiple calendars in one view. A quick access to particular combination can be done with one click URL allowing even quicker access. It solves classic problem knowing who is doing what and when.  Automatic notification is sent to appropriate person when an event is moved or changed which eliminates the need sending separate email around. I can quickly review my team’s workload.

Make sure things are scheduled

The idea is simply to make sure things are scheduled, it only takes me one click to assign task, the same way writing things down on a piece of paper. You can see at glance when things should be done or when you need to chase them. Shared calendar allows me to spread tasks into certain days instead of one big pile long list. A mountain of tasks suddenly becomes more realistic and achievable.

It has become our second nature just to set a task, pick a day when we can do it and you get things done easily. Sometime the best tool is the simplest one, you know it is working well when you don’t even realise it.

Intranet Cornerstones

Delivering a successful Intranet or large IT project is not easy. Based on our experience they hugely depend on these 4 cornerstones:

Sponsor

Sponsor is usually coming from executive level with strong vision to transform the business. It is important to keep the sponsor up-to-date with every stage of the project, from planning, development and deployment. Her or his influence and active participation can make such a huge different. Need a practical example? Organise brief speech during the launch, record his/her video, and write in the executive blog or press releases just to name a few.

Champions

Champions, power users or cohort is a collection of individuals who represent their departments or business unit. They get early administration training and it is their job to introduce the new system and train other users. Just like in any other team building exercise it is important to choose the right member of the team. These are certain quality worth considering: bright, creative, helpful, good with computers. Champion group is acting like a fuel during the early adoption.

Vendor

Choosing a software vendor for a large IT project is like choosing a life partner. er.. maybe I am exaggerate a little, but there is some truth in it. Ending up with the wrong vendor can be frustrating and greatly impact your business. Sometime it’s not just about the product but look for extras and advice they could bring to the table. Do they have enough experience? Are they easy to get hold of? How’s the after-sales service? Are you tighten into a proprietary technology with no future?

User

Understand what the end users wants and translate them into the product is a winning formula. Get out from your cubicle and talk to all users from every corner of the department especially the one who sit nice and quietly in the corner. Ask them do they get the benefit? Keep an eye on usability issues, sometime they just not knowing the thing they are looking for is there. Monitor the changes; avoid common mistakes, keep them happy, ultimately they are the reason why we’re having this project.

Community Portal within an Intranet

Many companies want to embrace Enterprise 2.0, the same spirit that leverage UGC (User Generated Content), but most of them are unsuccessful. The Company Intranet has been seen as a formal platform where the information is coming from top to bottom, approval required type information and majority of staff having ‘read only’ rights. The main question has been how to create a sense of ownership, collaboration, communication,participation, and excitement when the information is majority coming in one-way direction. Let’s admit it top to bottom communication is boring, who wants to read the latest CEO’s deal or corporate press releases and why should they get excited about it?

One of our clients came up with this idea,  a “Community Portal” where information is shared outside a rigid Intranet. An area where all users can create content and mashing up publicly available media such as personal Blog, YouTube Video or Flickr  Photos within “Community Portal” in a corporate Intranet.

The result? Brilliant! Some users are posting YouTube video from their latest field trip, pictures from Flickr album from recent staff weddings, or some charity work they did recently. The staff feel their work is appreciated by getting feedback & comments from others,  and the executive get a glimpse on what their staff have  done in projects and events that really engage them.

It’s far from the anarchy that most management are often concerned about. It’s fun, interesting, and it makes an Intranet a place to visit everyday.

Pudsey takes a trip to Brighton

Pudsey the bear took a trip to the Claromentis office in Brighton this week as part of a fundraising campaign run by our client CareUK.

Pudsey traveled a total of around 450 miles on his trip to Brighton, and was reported to be suffering from tiredness at the end of it all.

Pudsey Bear said “It was a long trip, but I’m glad I took it.  The Claromentis Intranet Software is a great application framework and I’m pleased I was given the chance to see where it comes from.  I’m really tired after the trip, but to watch the sun going down over the South Coast was an amazing experience and I’m glad I did it”.

Claromentis looks forward to Pudsey returning again sometime in the near future.

Document Commenting is coming in Claromentis 5.5.

This feature allows user to add comments or notes to a stored document and build threaded discussion based on the version changes.

This is particularly useful for our clients in construction, engineering and architecture where individual CAD files are potentially very large and edited directly only by specialists.
